Privacy Notice

Who we are

Instructorly is provided by Instructorly.me, which is the data controller for the personal information described in this notice — we decide what is collected and why. Where an instructor's school directs how student information is used, we act as a processor on that school's behalf.

What we collect

When you use Instructorly, we collect the information needed to schedule and run one-on-one sessions: your name, email address, and mobile phone number, along with your bookings, pre-call answers, session history, and sign-in activity.

While you are checked in for a session, we also record basic activity signals from the page you have open — whether it is still open, when it last responded, whether it is in view or in the background, and your responses to anything shown on it. These signals hold your place in line, confirm you are present, and support academic honesty; they are kept with your session record and are available to your instructor and school.

Instructors additionally provide profile details such as their photo, bio, meeting links, and availability.

How we use it

We use this information only to operate the service:

  • Signing you in with one-time codes sent by email or text message
  • Sending booking reminders (the day before, one hour before, and when your window opens)
  • Notifying you when the instructor is ready for you in the waiting room
  • Showing instructors their queue, schedule, metrics, and audit log

We do not sell your personal information, and we do not share it with third parties for their marketing purposes.

Why we are allowed to use it (legal basis)

  • Performance of a contract — creating your account, running bookings, waiting rooms, calls, and session records, and billing instructors for their plan.
  • Legitimate interests — keeping the service secure, preventing fraud and abuse, supporting academic honesty, and improving the product.
  • Consent — text message reminders and sign-in codes by SMS, which you can withdraw at any time by replying STOP.
  • Legal obligation — tax, accounting, and responding to lawful requests.

Who we share it with

We share personal information only with:

  • Your instructor and, where applicable, their school.
  • Service providers who work for us: hosting and database, email delivery, and text message delivery.
  • Paddle.com, our Merchant of Record. Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders and handles checkout, payment, subscription management, tax compliance, invoicing, and returns. When an instructor buys a plan, Paddle collects and processes their billing details (name, billing address, tax identifiers, and payment card or account data) as a controller under its own privacy policy. We never see or store full payment card numbers; we receive only the plan, status, and a reference to the subscription.
  • Professional advisers such as our accountants and lawyers, where needed.
  • Authorities, where the law requires it.

How long we keep it

We keep account and session records for as long as the account is open, and for up to 24 months after it is closed so instructors and schools can look back at session history. Sign-in codes expire within minutes. Text message consent records are kept for as long as the number is on a roster plus 24 months, as messaging rules require. Billing and tax records held by us or by Paddle are kept for 7 years to meet legal obligations. When information is no longer needed it is deleted or anonymised.

Your rights

Depending on where you live, you may ask us to give you a copy of your information, correct it, delete it, restrict or object to how we use it, or receive it in a portable form, and you can withdraw consent for text messages at any time. Write to privacy@instructorly.me and we will reply within one month. If you are in the UK or EEA you may also complain to your local data protection authority. Our providers may store data in the United States; where information leaves the UK or EEA we rely on Standard Contractual Clauses or an equivalent safeguard.

Cookies

We use only essential cookies and similar browser storage — keeping you signed in, holding your place in the waiting room, and remembering unsaved schedule changes. We do not use advertising cookies. You can clear or block this storage in your browser, though signing in will stop working if you do.

Text message (SMS) program

Instructorly sends text messages only to users who have opted in. Consent is collected in one of two ways:

  • An instructor adds a student to their roster with the student's mobile number and turns on the student's texting switch, confirming the student agreed to receive texts.
  • A user chooses the "Phone" option or the "Text me the code" button on the sign-in screen, entering their own number to receive a one-time sign-in code.

Messages are limited to scheduling-related notices: one-time sign-in codes, booking reminders, "it's your turn" notifications, and "instructor will be right back" notices. Message frequency varies with your bookings (typically no more than a few messages per scheduled session). Message and data rates may apply.

You can opt out at any time by replying STOP to any message, or by asking your instructor to turn off texting on your profile. Reply HELP for help, or contact your instructor directly.

Mobile phone numbers and SMS consent are never shared with or sold to third parties or affiliates for marketing purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

How we protect it

Data is stored in an access-controlled database with row-level security, so students and instructors can only see the records that belong to them. Sign-in codes are one-time and expire. Every schedule change, cancellation, and no-show is recorded in an audit log.

Your choices

You can update your contact details at any time through your instructor, turn off text messages by replying STOP, or ask your instructor to remove you from their roster. Instructors can edit or unpublish their public profile page at any time.
